Our Terms & Conditions

These Terms & Conditions stipulate the legal terms by which tickets are sold for any, and all events, organised by CELEBRATE Trust, such as Our annual main event: ‘The CELEBRATE festival’. These terms must be read and agreed to by the lead delegate before purchase. The lead delegate must also agree to these terms on behalf of any additional group delegates. Any queries about these terms must be raised with Us prior to purchase by emailing festival@celebratetrust.org  These terms are subject to change according to updates in law and legislation. Any changes that affect Your purchase will be updated on Our website.    

1. INTERPRETATION:

  • “You” or “Your” means the lead delegate who made the booking.

  • “We”, “Us” or “Our” means CELEBRATE Trust (Charity number 1195730).

  • “Ticket” means any valid identifier (i.e., badge, wristband) that permits a delegate to either attend the ‘Event Only’ or attend the ‘Event with Campsite Accommodation ’or ‘Event with Full Board School Accommodation’.

  • “Venue” means all site locations and facilities where the Event is being held.

  • “Accommodation” means Your tent or onsite school accommodation.

  • “Receipt” means the confirmation We provide to confirm Your purchase.

  • “Code of Conduct” means our Event Venue rules and regulations.

  • “Administration Fee” means the administration costs relating to the sale of tickets. Administration Fees are detailed at the time of purchase.

  • ''Event'' means the CELEBRATE festival being held at Worth School between 16-20th August 2025 (campers arriving from 15 August 2025).

2. TICKETS

2.1. Your booking contract with Us will begin when We issue You with Your receipt. Your contract with Us will be on the terms set out in these Terms and Conditions.

2.2. You, as the lead delegate, must be at least 18 years old at the time of purchase.

2.3. It is Your responsibility to ensure that You have provided the correct information, including email address, when completing the booking form. If you do not receive Your receipt, please contact festival@celebratetrust.org 

2.4. We can only discuss Your booking with You as the lead delegate. Any changes to Your booking are subject to Our discretion.

2.5. Tickets remain Our property. We reserve the right to withdraw tickets/refuse admission to the Event at any time. Refunds subject to the terms stipulated in clause 7.2, 7.3, 8.2 and 8.3.

2.6. Tickets will be emailed upon booking.  At registration You will have to show Your tickets and You will be given the relevant lanyard/wristband for entry into the festival. You, as the lead delegate, are responsible for bringing Your tickets. Failure to do so may lead to refusal of entry at the Event without refund.

2.7. Tickets must be provided by delegates to gain access to the Event.

2.8. Tickets may be invalidated if they are altered or defaced in any way. Replacement tickets will incur a £5 administration fee.

2.9. Tickets will be refunded according to the terms stipulated in clauses 7.2, 7.3, 8.2 and 8.3.

2.10. Tickets are non-transferable.

2.11. Tickets are sold subject to Our right to change the Event due to circumstances beyond Our reasonable control.

2.12. Where limited Ticket availability applies, We cannot guarantee You a Ticket. Limited availability will be notified on Our website.

2.13. As stipulated in clause 11.1 and 11.2, Donations made by You are used to support the work of CELEBRATE Trust.

2.14. We reserve the right to withdraw any promotional offer at any time.

3. PAYMENTS

3.1. Tickets must be paid for at the time of booking, either in full or by instalments.

3.2. If You choose to pay by instalments, You must pay a deposit at the time of booking.  Any outstanding balance will then be collected on the balance due date detailed in Your receipt. If Your payment details change after the time of booking, You must inform us at festival@celebratetrust.org so that We can email You a secure link which will enable You to update Your payment details.

3.3. The deposit is non-refundable except where cancellation is due to exceptional circumstances as per clause 7.2.

3.4. Whilst all reasonable measures have been taken by Us to secure the booking process - by booking online, You agree that using the internet can never be entirely secure.

3.5. In the unlikely event that a duplicate payment is taken by Us, You must email us at festival@celebratetrust.org providing Your receipt details.

‍4. RIGHT OF ENTRY

4.1. Your Right of Entry to the Event is subject to the rules and regulations stated within these terms and conditions.

4.2. Your Right of Entry is subject to full payment of Ticket fees.

4.3. You and all delegates in Your group must have a valid ticket to enter the Event.

4.4. Children under the age of 18 in Your group must be accompanied by a parent/guardian who must remain on-site throughout the Event. You agree that We do not accept any parental or supervisory duty of care or liability when children under the age of 18 do not attend the age-appropriate groups We provide. You as the parent guardian have full responsibility for your children at all times other than when they are in session as registered participants in their age appropriate groups.

4.5. If circumstances require/demand, You agree to possible personal security searches (including of vehicles, accommodation and bags) by CELEBRATE security personnel with the strict authority of the site manager or to whom they delegate in writing such authorisation.

4.6. We retain the full right to refuse Entry or evict You from the Event, without refund or compensation, should You display any anti-social behaviour or be in possession of any weapons or illegal substances. If You are found to be in possession of a weapon or an illegal substance then You may be detained under section 3 of the Common Law Act and will be reported to the police or other relevant authorities. Our decision is final.

4.7. By purchasing a Ticket, You, as the Event audience, give express consent to being audio-recorded, filmed, and photographed without payment. This includes consent on behalf of all delegates in Your group, including children under the age of 18. By consenting You grant Us express permission to use, own and copyright such media/materials for Our purposes. If You, or anyone in Your group, do not wish to be audio-recorded, filmed, or photographed, it is Your responsibility to advise Us prior to your arrival at the Event at festival@celebratetrust.org so that We can ensure appropriate measures are taken. We will share these with You either prior to or at the Event and request that You adhere to any measure We implement to fulfill Your request. 

4.8. Due to amplification of noise at the Event (music, speaking, announcements), We recommend the use of Ear Defenders/Ear Plugs for those who have hearing issues or for babies and children who may be affected by noise; We will not however be able to provide these. All delegates must ensure they take the necessary precautions to protect their health.

4.9. Under no circumstances are pets/other animals permitted on site except Assistance Dogs who are trained and identifiable. If You need to bring an Assistance Dog, You must contact us on festival@celebratetrust.org prior to your arrival at the Event.

4.10. Unauthorised trading or the selling of goods/merchandise onsite is strictly prohibited.

4.11. Unauthorised distribution of flyers on site is strictly prohibited.

4.12. Unauthorised use of drones, photography, recording, or filming is strictly prohibited.

4.13. Due to Fire Regulations, open-fires or low-level portable/disposable BBQs are not permitted anywhere on-site, including the campsite.

4.14. You must use the designated smoking area detailed in the Event site map. Smoking and vaping is strictly prohibited in undesignated areas, including the campsite, as stipulated in clause 5.9.

4.15. It is Your responsibility to ensure You familiarise Yourself with the welcome information given to You on arrival with regard to fire and evacuation procedures and follow all instructions in the case of an emergency. 

4.16. You must not deface or damage the site and its facilities, including vandalism and theft of tentage, equipment, technology, or the personal belongings of other delegates. Those who do so, will be evicted and reported to the police and other appropriate civil authorities for prosecution and recovery of loss due to damage.

4.17.  It is Your responsibility to ensure You familiarise Yourself with the welcome information given to You on arrival with regard to first aid and emergency procedures and follow all instructions in the case of an emergency. 

4.18. You agree to follow the direction of all Event staff (including Event signage) and Venue staff. It is Your responsibility to make Yourself aware of the Event rules and regulations as set out in these Terms and Conditions.

5. EVENT CAMPING AND FULL BOARD SCHOOL ACCOMMODATION.

5.1. The following terms apply to the campsite and full board school accommodation at the Venue.

5.2. Due to limited availability, You must pre-book the campsite or full board school accommodation.  

5.3. Only tents (not vehicles) are allowed in the campsite.You must follow the directions of Event staff and/or competent authority at all times. Under no circumstances will You be permitted to leave Your vehicle on the tent field. 

You must park Your vehicle in the designated car parks, which vary depending on whether You are camping or in full board school accommodation.

5.4. For Your Health & Safety, under no circumstances do We permit cars/vans to be used as Accommodation.

5.5. CELEBRATE can not be held responsible for any children under the age of 18 years left alone in their rooms/tents or unsupervised at the event. 

5.6. Gates to the campsite open at 15:00 on the Friday before the Event & close at 15:00 on the Wednesday (the last day of the Event). You must not arrive before the designated opening time, and You must depart by the designated closing time. Under no circumstances will delegates be permitted to extend their stay beyond the final day that camping is available.  

5.7. You agree to respecting fellow campsite users and those in residential accommodation by making no undue noise after 22:00. We reserve the right to evict, without refund or compensation, those who breach these terms.

5.8. You must not use Your Accommodation, or allow it to be used, for any dangerous, offensive, noisy, illegal, or immoral activities. You must not cause any nuisance or annoyance to any neighbours or anyone else during Your stay.

5.9. Smoking and vaping is ONLY allowed in the designated smoking area detailed in the festival site map. It is strictly prohibited in all other areas, including the campsite. 

5.10. On the campsite, You must only use off-the-ground portable gas stoves and burners as per clause 4.13.  

5.11. Under no circumstances can You bring pets/animals on-site, except Assistance Dogs as per clause 4.9.

5.12. Generators must not be used on the campsite. 

5.13. You must remove all Your belongings/items, including litter and refuse, when departing the campsite and full board school accommodation. 

5.14. Electrical hook-ups are not available.

5.15. As a user of the campsite or full board school accommodation, You agree that We or Worth School shall not be held liable for any personal injury, vehicle damage or loss due to any accidents. 

5.16. As a user of the campsite, You should know that the campsite is located on farmland. Whilst every effort is made by Us to mitigate risks associated with this, it is ultimately Your responsibility to ensure Your own safety.

5.17. You agree to adhere to the rules and regulations stipulated in Our Code of Conduct, provided at the Event Venue.

5.18 The allocation of campsite pitches is on a first-come, first-served basis. For safety and privacy, You must ensure that there is space between tents so that guy ropes and pegs do not cross, or extend beyond the designated pitches.  Emergency access routes must be kept clear at all times.

6. SPECIAL REQUIREMENTS

6.1. It is Our utmost priority to make Our Events accessible to all. If You or a delegate in Your group has special requirements, it is Your responsibility to let us know in advance at festival@celebratetrust.org , so that We can advise You of how We may be able to support Your needs. Depending on the Event/Location, We cannot guarantee that Your needs will be fully met.

7. CHANGES, CANCELLATIONS & REFUNDS (REQUESTED BY YOU)

7.1. If You need to correct any mistakes on Your confirmed booking, You must email Us as soon as possible at festival@celebratetrust.org 

7.2. Requests for changes and/or refunds (prior to or during the Event) will only be considered where exceptional circumstances apply including (but not limited to) serious illness, bereavement, and redundancy. In all instances We reserve the right to refuse to make changes and/or issue refunds at any time without further explanation, subject to Your statutory rights.

7.3. Any agreed refunds will be made as soon as possible. Refunds can only be made to the original payment method used at the time of booking.

8. CHANGES, CANCELLATIONS & REFUNDS (INITIATED BY US)

8.1. The Event will need to comply with requirements of the Local Authority and Safety Advisory Group as appropriate, and We may have to amend Our Terms and Conditions. All updates will be available on Our website (www.celebratetrust.org) and communicated to You by email.  

8.2. In the unlikely situation that We have to postpone or cancel the Event due to restrictions imposed on Us by Our insurers, local council, government or other authority, You can either

1) defer Your booking/ticket(s) to a future year,

2) request a refund, or

3) gift Your booking payment as a donation to CELEBRATE Trust.

8.3. If We do not hear back from You in connection with the three options stipulated in clause 8.2 within three months of notice of cancellation it will be deemed as a donation to CELEBRATE Trust. Refunds can only be made to the original payment method used at the time of booking and do not include any administration fee which is non-refundable.

8.4. In connection with clause 8.2 and 8.3, We do not accept responsibility for any additional costs other than those You paid directly to Us. You therefore agree that We shall not be held liable for any costs beyond the price of Your actual booking/ticket(s), such as travel or third-party accommodation.

8.5. If We have to postpone or cancel the Event, We will take all reasonable means to communicate this to You.

8.6. Whilst We will endeavour to deliver Our advertised Event programme, We reserve the right to alter the programme (such as keynote speakers) without being required to provide You with a refund.  

9. EVENTS OUTSIDE OF OUR CONTROL

9.1. We do not expect to have to make changes to or cancel Your booking. In the unlikely event that We do have to, a full or part refund will be made using the payment details You provided at the time of booking as per clause 8.2.

9.2. We will only change or cancel Your booking for reasons beyond Our control including (but not limited to): Severe weather event, flood, drought, fire, explosion, earthquake, subsidence, epidemic/pandemic (including Covid19) or other natural disaster, lockdowns, strikes or industrial action by third parties, terrorist attack or threat of terrorist attack, war or threat of war, civil commotion, riot, invasion, failure of electrical power or public/private telecommunications networks.

9.3. We will not be responsible for any failure or delay to perform Our obligations under these terms and conditions that is caused by an event outside of Our control.

10. ROAD SAFETY OF DELEGATES

10.1. You agree to adhere to all the safety requirements of the Venue: ALL who need to cross Paddockhurst Road MUST do so via the footbridge. This requirement is non-negotiable. It is Your responsibility to convey this message to all people You book on behalf of, including children. For people with limited mobility, alternative and mutually agreeable arrangements will be made with advance notice. Strict observance of a maximum speed limit of 10 MPH applies across the Venue. Cars must be parked in designated areas.

11. DONATIONS

11.1. If You make a donation to CELEBRATE Trust, You have no legal right to ask for it to be returned. However, under exceptional circumstances (such as serious  illness, bereavement, or redundancy), We may consider refunding Your donation as a gesture of good-will.

11.2 The primary purpose of the Event is to help raise funds to enable the event and further the mission of the CELEBRATE Trust.

12. LIABILITY

12.1. You agree that We or Worth School shall not be held liable for any indirect or consequential personal costs, claims, expenses, or losses including but not limited to travel, accommodation, hospitality, or loss of earnings, arising out of or in connection with the Event and Venue, including cancellation of the Event, and/or Our obligations under these Terms.

12.2. You agree that We or Worth School shall not be held liable for any loss, injury or damage to You or Your property arising out of the Event or Venue, including but not limited to personal injury, illness, vehicles, tents, clothing, smart devices/accessories, laptops, iPads, electronics, food etc (except in the case of negligence or an intended malicious act by Us).

12.3. In relation to clauses 9.1 and 9.2, You are encouraged to take out the appropriate insurances.

12.4. You agree that We are not responsible for the condition/quality of products supplied and/or sold by third parties at the Event, including but not limited to merchandise, books, flyers, and clothing. All queries must be made direct to the third party.

12 .5. You agree We or Worth School have no liability for damage to cars parked at the Venue.

12 .6. You agree that We or Worth School are not responsible for the health, hygiene and quality of food sold by external food providers at the Event. All queries must be made direct to the third-party.

12. 7. You agree that We or Worth School are not responsible if using school sports facilities or equipment if there are concerns about Your fitness or if feeling unwell or are under the influence of alcohol or drugs. When taking part in sporting activities, You and those listed in Your booking must wear suitable sports clothing and the correct footwear according to the sporting activity. Outdoor shoes are not permitted in the sports hall or any other similar indoor play areas.

13. DATA PROTECTION (HOW YOUR PERSONAL INFORMATION IS USED)

13.1. Your personal data including but not limited to Your name, postal address, email etc., is processed (collected, used, and stored) in accordance with the Data Protection Act 2018 and Our Privacy Policy. 

13.2. You agree that We will ensure that any supply of  Relevant Personal Data to the School or Event site staff complies with Data Protection Law.

‍14. LAW

14.1. These terms and conditions are governed by English law. You and We both agree to submit to the exclusive jurisdiction of the English Courts.
